Description
Job Title: Executive Assistant
Location: Lekki Phase 1, Lagos
Reports To: CEO
Job Overview:
We are urgently hiring an Executive Assistant to join our team. The Executive Assistant will provide high-level administrative support to senior executives within the organization. This role includes managing schedules, organizing meetings, handling communications, and performing a variety of clerical tasks. The ideal candidate will be a highly organized and proactive individual who can juggle multiple tasks while maintaining attention to detail and professionalism.
Key Responsibilities:
Administrative Support:
Manage the executive’s calendar by scheduling appointments, meetings, and travel.
Prioritize daily tasks and appointments to ensure that the executive's time is optimized.
Prepare, review, and manage correspondence, including emails, letters, and reports.
Assist with creating and managing presentations, documents, and other materials.
Handle confidential information with discretion and professionalism.
Meeting & Event Coordination:
Organize internal and external meetings, including logistics, materials, and agendas.
Take minutes during meetings and ensure follow-up on action items.
Plan and organize company events, conferences, and travel itineraries.
Communication Management:
Screen phone calls and emails and manage incoming communication.
Draft and respond to routine correspondence on behalf of executives.
Serve as a liaison between executives and other team members, clients, and external stakeholders.
Travel and Expense Management:
Organize and coordinate travel arrangements, including flights, accommodations, and itineraries.
Prepare and manage expense reports, ensuring compliance with company policies.
Project Coordination & Support:
Assist in the preparation and tracking of projects, deadlines, and deliverables.
Support the executive in the execution of key business initiatives.
Coordinate with various departments to ensure the efficient completion of projects.
Office Management:
Maintain an organized filing system and manage office supplies.
Ensure that the executive's office space is well-organized and functional.
Additional Duties:
Provide support for special projects as needed.
Offer administrative assistance to other members of the executive team when required.
Assist in research and gathering information as needed.
Job Requirements:
Education:
Bachelor’s degree or equivalent experience in business administration, communications, or a related field.
Experience:
At least [3-5] years of experience in an executive assistant or administrative role.
Proven experience in managing complex schedules and high-level administrative tasks.
Skills:
Exceptional organizational skills with the ability to prioritize effectively.
Strong written and verbal communication skills.
Proficiency with office software (e.g., Microsoft Office Suite, Google Workspace, etc.).
Excellent time management and multitasking abilities.
High level of professionalism, integrity, and confidentiality.
Ability to work independently and as part of a team.
Preferred:
Experience supporting C-level executives or senior management.
Familiarity with project management software (e.g., Asana, Trello).
Strong problem-solving skills and attention to detail.
Work Environment:
Schedule: Full-time, Monday to Saturday.
